How do I update my JustBookMe profile?
Your JustBookMe profile is made up of a profile image (this must be a salon/spa interior photo), a summary blurb and up to three additional photos. If you wish to change your profile, you can do so by emailing ‘contact(at)justbookme(dot)com’ with your changes. Images accepted will need to be 193/123 in size ( 1/1.569 ratio) for the profile image or a true square for the additional images.

My staff levels are now visible to the public – how can I edit my staff levels or titles?
JustBookMe reads the level of your staff through your Kitomba set up. You can edit your staff level in Kitomba or staff level titles through K1. If you need help editing your staff levels or titles you can contact the Kitomba support team on 0800 161 101.

How does JustBookMe know my available appointment times?
JustBookMe has partnered with Kitomba Salon & Spa Software to provide up-to-date availability.

Can I limit services that can be booked through JustBookMe?
Yes. You can select what services and who can perform them through your Kitomba Capability setting in the Admin Tab. If you do not know how to set your capabilities, please call the Kitomba support team on 0800 161 101.

How will I know when a JustBookMe appointment comes in?
You’ll receive a notification that will appear on your Kitomba appointment book bottom left hand corner. If you currently have Kitomba Online Booking, it will appear in the same box and look like an Online Booking appointment.

Can I confirm or change the JustBookMe appointment?
Yes. You retain full control of your appointment book. When you click on the booking notification on the bottom left hand corner, you’ll be able to confirm or change the booking request. Once you confirm or change the appointment your client will receive an email or text. Should they have any issues, your client can call you to make changes.

How do I measure the number of JustBooMe appointments I’m receiving?
Run the ‘Appointments (by source)’ report in Kitomba One Reports. If you do not have Kitomba One Reports, and you would like this feature, you should contact the Kitomba support team on 0800 161 101.

Will I be able to see the client’s information and service request
Yes. Next to your client’s appointment request, you will be able to see their name, contact number and any other notes they made.

What if a client cancels an appointment?
A client can only cancel an appointment by phoning the salon to physically cancel. Clients cannot cancel appointments via JustBookMe.

Can JustBookMe work with my existing scheduling system?
At this stage JustBookMe only supports Kitomba users. If you’re not a Kitomba customer please contact us.

How will JustBookMe know which staff can perform different services in my business?
This can be set up through in your Capability Settings in your Kitomba Admin tab. Just tick the services you wish your staff to be able to perform – or un-tick any services they cannot perform.

I use dedicated colourists to do all my colour work – will JustBookMe know to book my colour with them?
Yes. JustBookMe will look at the Capability Settings set for each staff member in your Kitomba Admin tab. Clients will be able to make colour appointments with any staff member with this capability selected. If you’re unsure how to update your staff capabilities, contact the Kitomba support team on 0800 161 101.

How do I manage colour appointments to ensure there is enough time?
Your JustBookMe colour service time allocated is set to to average time it takes to complete your most popular service including gap time and blow dry. If a client requests a lot of foils or has long hair, 15 minutes is added to the standard duration time.  You can edit your standard JustBookMe colour duration time in your Kitomba Services.

How will JustBookMe match the service request to the services I offer?
JustBookMe presents your clients with a list of your services directly from your salons service list, based on their search term. e.g. if the client requests waxing, they will be presented with a list of all your waxing services. So it’s important that your clients understand your service list – you may want to review it and make the service names more intuitive for your clients.

How do I redeem a JustBookMe voucher?
Be ready to receive a JBM gift voucher by setting up ‘JBM voucher’ in your Kitomba payment types in advance.  This will make receiving vouchers simple and easy when seeing your clients out at Point of sale. If you’re presented with a JBM gift voucher on or before the 15th of each month, contact me with the voucher number and I’ll arrange payment directly into your business account on the 20th of the month. Any vouchers after the 16th will be processed the following month.
